The Role: The Workflow Planner will be responsible for carrying out technical planning and building Work Orders. The role will report to Work Initiation and Bundling Officer for Irish Water. The Workflow Management function within Irish Water is accountable for the bundling, prerequisite/dependency management, and progression of Work Orders for Irish Water, Local Authorities and Services Providers.
Main Duties and Responsibilities:
• Receive and review all Service Requests to create Work Orders on the Maximo System, including reactive Service Requests for potential incidents/events
• Approve Work Orders generated outside of the Work progression team on the Maximo System
• Create Work Orders and follow-on Work Orders and cancel Work Orders on the Maximo System as applicable • Link related Work Orders into work packages/groups on the Maximo System where appropriate
• Ensure Maximo Work Order fields are appropriately populated reflecting system and business requirements
• Authorise the release of Work Orders for work execution
• Assess and create Work Orders pre-requisites for Technical Planning
• Identify any dependencies and prerequisites of the Work Orders
• Process inventory dependencies and pre-requisitesspecified in Work Order forms for Irish Water field work
• Process all necessary requirements involved in Road Work dependencies of specific Work Order including management of Road Opening Licences and work permit dependencies that need to be in place before commencing field work
• Identify and communicate with stakeholders of Work Order dependencies
• Plan and communicate inventory availability against Work Order forms on the Maximo System

• Review list of Service Requests submitted by Water / Wastewater Catchment Inspectors in response to Irish Water audit field work
• Receive job feedback forms from Local Authorities in relation to all contractor
Out-of-Hour / Emergency work; seek approval from Regional Operational Management / Work Initiation and Bundling Officer to raise and complete retrospective work order
• Set-up /maintain Maximo Projects within the Maximo system
• Liaise with Regional Operational Leads and Contractors as applicable in relation to work planning and progression
• Ensure compliance with Operations and Maintenance policy and standards
• Perform other such duties in relation to work and asset management as Irish Water may reasonably require
Knowledge, Skills and Experience:
• Relevant third level qualification
• Minimum 1 year post qualification experience in a similar work management role in utilities, telecommunications or financial services
• Experience in Workflow processes using work management systems an advantage. (Maximo, GIS, CC&B)
Ability to:
- Develop relationships to accomplish team goals coupled with dealing effectively with differences of opinion and conflict management
- Prioritise tasks, work with schedules while remaining focused on team goals
- Secure and compare information from multiple sources to identify business issues; committing to an action after weighing alternative solutions against decision criteria

• Excellent verbal and written communication skills
• Computer literate with experience using Microsoft Office software (Office, Word, Excel, and Outlook), and Sharepoint
